Overview This Refund Policy applies to all VWEC‑hosted or VWEC‑supported events, including the Primitive Soul VW Rendezvous.

Registration Refunds

Full Refunds

• The event is canceled by VWEC

• Duplicate registrations were submitted accidentally

• A registrant contacts VWEC within 48 hours of submitting payment

Partial Refunds

• A registrant withdraws 7+ days before the event

• VWEC has already incurred processing or material costs (postcards, vehicle numbers, printed items)

Non‑Refundable Situations

• Withdrawal within 7 days of the event

• No‑shows

• Weather impacts attendance but the event continues

• Removal for conduct or safety violations

Vendor & Sponsor Refunds
Sponsors and vendors have 72 hours after submitting payment to change their mind, withdraw, or lower their sponsorship level. After this 72‑hour period, funds will have been committed to event expenses and are no longer refundable.

How to Request a Refund
Email carshows@govwec.org with:

• Your name

• Registration email

• Vehicle or vendor details

• Reason for refund request

Refunds are processed within 7–10 business days.

Event Changes If the event date or venue changes, registrants may request a refund within 72 hours of the announcement.
